What information we collect

On bratchen.co.uk, we may collect names of persons, email addresses, phone numbers company names, messages and purchase choices. If website visitors become customers we may in due course collect other information necessary to provide the services requested.

We collect this data when a user submits a contact message, subscribes to receive our newsletters and offers and/or when the user purchases a service package.

Contact Message

We collect person name, person contact email address, person company, contact subject and contact message.

Subscription to Newsletters/Special Offers

We collect person first name and person contact email.

Service Package Purchase

We collect person name, person contact email address, company and service package choice.

How we use personal information

We will only use the personal information we collect to fulfil the services requested by the individual and to meet our legal obligations.

Contact Message

For users that submit a contact message, we will use their message and subject to understand their specific needs. We will use their name to address them in a follow up email and we will use their email address as a means of contacting them. These items of information will not be stored other than within our email system.

Subscription to Newsletters/Special Offers

For users that subscribe to our newsletters and special offers, we will store their supplied name and email address in our marketing database and we will use these two attributes of information as a means of delivering marketing and events communication to the individual.

Service Package Purchase

For users that show an interest in purchasing a specific package, we will use their message as well as the package choice they made to understand their specific service requirement. We will use their name to address them in a follow up email and we will use their email address as a means of contacting them. These items of information will not be stored other than within our email system. If the request progresses to an agreed purchase we may ask the customer for further information in order to fulfil the service requested.

Legal Obligations

We are obliged to disclose any information we hold to the security services should we be approached by them according to legal process to comply with UK law. We are also obliged to conduct regular audits of the information we store to comply with UK and EU regulations.

The legal basis for processing your personal data

The EU GDPR directive stipulates six legal grounds for processing of personal data as follows:

  • contract
  • legitimate interests
  • vital interests
  • public task
  • legal obligation

The three entrant points already mentioned of your personal information, namely Contact Message, Subscription to Newsletters/Special Offers and Service Package Enquiry satisfy the legal ground of consent. We explicitly seek your consent via an acknowledgement checkbox which you need to click before any information is submitted to our server. You have the right to manage and/or withdraw your consent. In the case of contact message and incomplete purchase of service package, as no data is stored in any database, persistence of information only relates to it's existence within our email system. Inboxes are periodically purged but you may request that specific emails are deleted by contacting us on enquiries@bratchen.co.uk. For individuals who have subscribed to our newsletter and/or promotional offers, you may click on an unsubscribe link to withdraw your consent on any marketing email that you receive from us, or you can email us as before mentioned. In the case of parties who become paying customers we may need to seek further information to fulfil the requested service. Such information would be processed on grounds of contractual obligation. We are mandated to oblige to any legal obligations to process your data if necessary

Where we store and process personal data

Our team of consultants is based entirely in the UK while our data servers are also hosted in the UK. We do not transfer any data outside of the UK.

How we secure personal data

Our website is protected by a Secure Service Layer (SSL) certificate. This means all web traffic between the web server and your web browser will be secure. Any data uploaded is cryptographically encrypted. Our email accounts again use SSL encryption along with the use of strong passwords. We do not share any of our users personal data with any third party eliminating third party risk.

How long we keep personal data

The GDPR requires a data controller to retain data for no longer than reasonably necessary and we abide by this. In the case of contact message and incomplete purchase of service package, as no data is stored in any database, persistence of information only relates to it's existence within our email system. Inboxes are periodically purged on a monthly basis. In the case of parties who become paying customers we will hold contact and other information for the duration of the contract with the customer. After fulfilling the contractual obligation for a single purchase we will continue to hold data on that customer for a period of months after fulfilment for audit purposes. Thereafter the data will be deleted. For individuals who have subscribed to our newsletter and/or promotional offers, their name and email address are held so long as their consent remains in place. When their consent is withdrawn their information will be deleted the same day.

Your rights in relation to personal data

Under the GDPR, we must respect the right of data subjects to access and control their personal data. You have the following rights pertaining to your personal information that we process:

  • access to personal information
  • correction and deletion
  • withdrawal of consent (if processing data on condition of consent)
  • data portability
  • restriction of processing and objection
  • lodging a complaint with the Information Commissioner’s Office

You can exercise your rights by contacting us via email at enquiries@bratchen.co.uk. You may invoke a Subject Access Request (SAR), in which we must within 28 days of request provide you with all the personal data we hold on the data subject. You may also ask us to delete all data we hold pertaining to yourself to fulfil your right to be forgotten. In both cases the action will only be taken if the requesting party can prove their identity is that of the subject of the SAR. There may be circumstances where data subject rights may be limited, eg if fulfilling the data subject request may expose personal data about another person, or if we are asked to delete data which we are required to keep by law.

Use of automated decision-making and profiling

We do not perform any automated decision making or profiling based on the personal data of our users
